Smart Merge for Funds and Designations

Overview

Kindful can help you merge duplicate Funds and Designation that are in your account. Use this feature to consolidate these duplicates to optimize your data for better filtering and reporting.

What It Is

The Smart Merge for Funds and Designations feature is ideal for users who have historically, are actively, or plan on bringing in data from multiple places. This can include the following:

  • Manual data entry
  • Connecting an Integration that brings in transactional data (e.g. Classy)
  • Performing a self-import using our Import Data tool
  • Using our Data Services team to perform a custom import

As you continue to use the Kindful system, connect more applications, and bring in more data, it is likely you will see multiple Funds, Campaigns, and Designations of the same name. Oftentimes these can be consolidated together for data cleanliness. Kindful gives you the option to safely merge your duplicate Funds and Designations.

Smart Merge for Funds

Navigate to the Funds page in Kindful, and locate the Actions button in the top right-hand corner of the page.

Click on the Actions button, and select "Start Smart Merge"

The Smart Merge page will show a list of the duplicate Funds in your Kindful account. We will show the name of the Fund as well as the number of times it repeats.

Of Note: For Funds to be eligible to match, they must A) be Active and B) their names must be exact matches.

You will see two button options, Merge and Cancel. Clicking Merge will begin the Smart Merge process to combine the listed duplicate Funds. Clicking Cancel will return you to the main Funds list view.

When you begin the process by clicking on Merge, you will be taken back to the Funds List view, and these items will take place:

  • The process will work to merge all duplicates into a single Fund of the same name. We will start by prioritizing any QuickBooks Accounts as the primary set of Funds to address if the integration is connected
  • The Fund Edit buttons will be disabled
  • The Actions button will be disabled
  • The option to add a New Fund will be disabled

Once this process has completed, the transactional data will be merged, there will be no more duplicate Funds, and your Funds will be editable again. If there are no matches, Kindful will let you know this as well.

Of Note: If you wish to edit your Fund names so they can automatically merge, but you are connected to QuickBooks, we recommend you change the name of the syncing fund to match the non-synching fund, then let the feature work.


Smart Merge for Designations

Navigate to the Designations page, and locate the Actions button in the top right-hand corner of the page.

Click on the Actions button, and select "Start Smart Merge"

The Smart Merge page will show a list of the duplicate Designations in your Kindful account. We will show the name of the Designation as well as the number of times it repeats.

Of Note: For Designations to be eligible to match, they must A) be Active and B) their names must be exact matches.

  • Nesting and reordering will be disabled
  • The option to add a New Designation will be disabled

Once this process has completed, the transactional data will be merged, there will be no more duplicate Designations, and your Designations will be editable again. If there are no matches, Kindful will let you know this as well. 

Of NoteIf a Designation is Smart Merged, and it was setup with a nested Sub-Designation, that Sub-Designation will be un-nested. If you wish to set this up again, you will need to re-nest it after the merge is finished.
